Value Addition

A methodology based on international IT Governance Frameworks The IT frameworks (COBIT & ITIL) correspond to a collection of internationally recognised rules, procedures and best practices on which our team relies to formulate its recommendations.

The adoption of ITIL & COBIT best practices, based on a process approach, provides a common basis, recommendations and language, offers a recognized framework, a reference that provides IT services, infrastructure, security organization, quality, efficiency, and reduces risks.
An approach based on the COSO methodology
The COSO methodology is designed to help the organization achieve these objectives, which are divided into 3 categories:
  • Operational: objectives aimed at the effective and efficient use of resources.
  • Reporting: objectives related to the reliability of reporting; and
  • Compliance: objectives of compliance with laws and regulations in force.
Structured approach
The mission is structured in several phases. Each phase is characterized by an objective, actions and deliverable (written or in the form of an animated presentation).

A shared approach
Our contacts with key actors and staff will be strongly involved in our approach. This participative involvement will aim to permanently validate our understanding of the issues raised and to gain a definite adhesion to the project.

Project Management



  1. Planning Phase
    • Conduct a situational analysis of the current manual records management system critically examining and identifying the various record repositories within the organization, and analysis of the digital sources (e-folders, email, databases) ;
    •  
    • Carry out a detailed records inventory of all the files in the organization ;
    •  
    • Identify the business processes. classify the records and Assign file codes ;
    •  
    • Identify documents for retention and those for disposal ;
    •  
    • Review the retention period and storage location for each record series and apply retention schedule to categorize active, semi-active and inactive records.

  2. Conduct Phase (Record creation)
    • Analyse all the records listed from the planning phase by providing a WHAT, WHY and HOW assessment of the records landscape ;
    •  
    • Classify the records & assign file codes after identifying the business processes ;
    •  
    • Complete the formulation of the Records Management Policy by including a Records Retention and Disposal Schedule ;
    •  
    • Review of the File Plan / Classification Scheme.
    •  
    • Facilitate the laying out/arrange storage equipment in the space provided, clean, straighten dog-ears/folds, repair & file records; replace old or torn folders, etc ;
    •  
    • Identify archival documents to be selected and placed in acid – free boxes ;
    •  
    • Organise all files and boxes.
    •  
    • Establishing a filing system.

  3. Reporting Phase (Record Distribution)
    • Once a record is created, we determine its distribution method ;
    •  
    • Establish a digital migration roadmap for the establishment of an electronic records management system mirroring the newly established filing system ;
    •  
    • Advise the choice between either an Electronic Record Management System (ERMS) or Electronic Document Management System (EDMS) ;
    •  
    • Map out key areas of integration with regard to folder structure, classifications and coding between the manual and electronic systems ;
    •  
    • Develop specification and propose different software systems to consider while making the automation decision.
    •  
    • Recommend the best strategy to use for the digitalization process.

  4. Follow-up Phase
    • Action is taken to ensure that the required measures have indeed been implemented.
    •  
    • Providing instruction and training workshops for staff in the use, management and maintenance of the designed records management system with a view to getting them to understand the records classification and coding system.
    •  
    • Come up with a system for continuing maintenance and monitoring of the filing system.
    •  
    • Review of the File Plan / Classification Scheme.
